This Privacy Policy explains how Refinio ("we", "us", "our") collects, uses, and protects personal information when you use our website (refinio.app) and our AI-assisted property marketing service (the "Service"). Refinio is operated by Eren Sancar, a sole trader based in the United Kingdom.

1. Who this policy is for

Our customers are UK estate agents and property professionals. This policy covers the personal information we handle about you as a customer or website visitor. It does not cover information about the properties themselves, except where a property image or detail happens to contain personal data (for example, a person visible in a photo).

2. What information we collect

Information you give us: account and contact details (your name, email address, business name, phone number); content you upload (listing photographs, floorplans, and property details); and communications you send us.

Information we collect automatically: basic usage data (pages visited, actions taken, approximate location from your IP address) and device/browser information, for security and to make the Service work.

Payment information: when you pay, your card details are collected and processed directly by Stripe, our payment processor. We do not receive or store your full card number — only limited details such as the last four digits, card type, and payment status.

3. How we use your information

We use your information to: provide the Service (edit your photos, generate descriptions, deliver results); run compliance checks against advertising rules including the Digital Markets, Competition and Consumers Act 2024; take payment and send invoices and receipts; communicate with you about your account, orders and support; improve and secure the Service; and meet our legal and tax obligations.

Our lawful bases (UK GDPR) are: performance of a contract with you; our legitimate interests in running and improving the Service; your consent where required; and compliance with legal obligations.

4. Photographs and the "enhance, never invent" principle

Refinio edits property photographs to present them at their best — for example improving lighting, sky and clarity. We do not fabricate or add features that are not present in the property, in line with our honesty commitment and UK advertising law. Original, unedited images are retained alongside edited versions so that edits can be checked against the source.

5. Who we share your information with

We share information only with service providers that help us run Refinio, and only as needed: Supabase (hosting, database, authentication, file storage); OpenAI (AI processing of images and text); Stripe (payment processing, invoicing, fraud prevention); and Vercel (website and application hosting). These providers act on our instructions. Some may process data outside the UK; where they do, appropriate safeguards are in place. We may also disclose information where required by law. We do not sell your personal information.

6. How long we keep your information

We keep your information for as long as your account is active and as needed to provide the Service, then for as long as necessary to meet legal, accounting and tax requirements (generally up to 6 years for financial records). Uploaded images and generated content are retained while your account is active; you can ask us to delete specific content sooner.

7. Your rights

Under UK data protection law you have the right to access, correct, delete, restrict or object to the use of your information, and to request a portable copy. Where we rely on consent, you can withdraw it at any time. To exercise any of these, email erensancarmedia@gmail.com. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

8. Security

We use appropriate technical and organisational measures to protect your information, including access controls and encryption in transit. No system is completely secure, but we take reasonable steps to keep your data safe.

9. Cookies

Our website uses only essential cookies needed to run the site and keep you signed in. If we add analytics or non-essential cookies in future, we will ask for your consent first.

We may update this policy from time to time. We will post the updated version here and change the "Last updated" date above.
